Why expocontrol – Status Quo of Expo Planning

In Germany alone, about 56,000 companies participate in an average of five expos every year spending around € 30k per expo. The significance of expos for companies is not mirrored in the efficiency with which companies go about the planning process: in a lot of cases the is Excel sheet chaos prevails.

Critical resources like expo participants because of numbers and underlying dynamics don’t lend themselves to being planned with Excel sheets, or at least only in time consuming and error-prone manner – e.g.:

  • Constant nee for adjustments (Employee turns sick, additional particpants take part etc.),
  • Lack of overview (back and forth between different lists),
  • Permanent coordination efforts by the planer (follow-up through Email and over the phone),
  • Missing or insufficient matching of “room quota to actual needs”,
  • Data inconsistency due to access of multiple users to the Excel sheet.

Furthermore, Excel does not offer any integration of logical next planning steps:

  • Participation requests are often sent out through a different system through Email
  • Travel arrangements are done based on lists that are sent to travel agancies

We are convinced that the use case of “expo planning” needs a specific solution. As a result of such a dedicated offering all the disadvantages of working with Excel are offset and you as a user enjoy significant benefits when planning expos or any other form of event.
